Email Usage and Security

Email is to be used for business only. Confidential information must not be shared outside your organization, without authorization, at any time. You may use your own personal devices, including your personal computers, mobile phones and tablets, to access your email. For security reasons, you may not forward your email messages to free third party web-based email services or configure these services to remotely access your organization email account.

Password or Device Lost or Stolen

If your password is compromised or your device is lost, contact Luminys or your supervisor so that they can change your password immediately.

Use of Gmail

Gmail accounts are owned by Google. Having a Gmail account for your organization is essential in order to access critical online services such as Google Webmaster Tools, Google Analytics, and Google Adwords. Using your organization’s Gmail account for correspondence or sending out newsletters is not permitted.

Organization Owns Employee Email

Keep in mind that your employer owns any communication sent or received via your assigned email address. Management and other authorized staff have the right to access any material in your email or on your computer at any time. Please do not consider your electronic communication, storage or access to be private if it is created or stored on work systems.
